Volunteer Hours by Team

The dashboard shows 2025-2026 earned and committed shifts.  The shifts are updated weekly on Sunday.  This will hopefully help teams plan their need moving forward.  Please attempt to earn your hours prior to asking for your allocation or have a solid plan for earning.

Booster Club Allocation Process for Teams

The Waukesha West Booster club has a mission to enhance the athletic experience by offering annual financial allocations to all 30+ programs through our allocation process. The amount the team is requesting will determine the amount of participation required with a maximum allocation of $3000 (which is reviewed annually and determined based on fiscal viability).

The Allocation Program allows flexibility, while ensuring the Booster Club meets their fundraising goals. While we encourage participation before receiving funds, we understand situations arise. If commitment is not completed before the end of the academic year, the team will not be eligible for funding from the Booster Club for the following academic year, and will be required to participate before submitting future allocations.

The executive committee encourages all booster club representatives to participate and promote the objectives of the booster club. We hope to also alleviate the burden, where needed, from concessions for host teams. We ask that non-host teams volunteer during playoff games and fill in where necessary throughout the season. Volunteers will be expected to enter their name and sport into the desired Signup Genius’ and then sign in at the volunteer event to receive credit for the team. As a courtesy, if an event is cancelled within 24 hours by the school or district, the team will receive credit for those hours. “No shows” do not receive credit. Playoff game signups will be sent out once the events are confirmed by the Athletic Department. If your team is part of a co-op, encourage all parents to sign up to help at West Concessions. 

Please keep in mind it is our policy not to provide funds for any items that are personal to any player (shoes, sticks, personalized jackets, etc.)

Allocation Amount/ requirements:

$1500 –Mandatory participation: 

  • Team representative attends booster club monthly meetings (8 or more)

  • Volunteer Opportunities: 10 concession shifts

  • Westapolooza Silent Auction Basket (Qty 1) 

Once the mandatory participation has been earned, teams can earn an additional $1500 ($500 per additional activity of your choice, limit of three) for a max of $3000 earned. Additional activity options include:

  • Volunteering an additional 10 shifts for Booster Club sponsored events

  • Additional Westapolooza Basket Donation (Approximate Value $250)

  • Chair of a Booster Club committee or fundraising event for Booster Club

  • Westapolooza (x4 attendees)

  • Bring in a sponsor/corporate donation for the Booster Club

  • Band/ Booster Golf Outing (x4 attendees)

  • Other activity approved in advance by the Booster Club Board

Definitions:

Volunteer Shift = 1 person confirmed volunteering for (2) hours during a Waukesha West Booster Club fundraising event.

Booster Club Meeting Attendance = Meetings are held the 2nd Wednesday of each month. If you are unable to attend a meeting, you may send an alternate to represent your team, or if the meeting is on game day you may submit a report via email to the booster club secretary for an excused absence.

Process for allocation submission:

  • Each team is allowed to submit one allocation request per academic school year, August 1 through July 31st. 

  • The allocation must be submitted by utilizing the online form located on the Coaches Corner page on the Waukesha West Booster Club webpage. This form must include a quote/invoice listing the items to be purchased. 

  • The allocation form must be submitted two weeks prior to the monthly meeting.

  • The allocation will be reviewed by the Executive Committee at their next scheduled meeting (1st Monday of the month)

  • The allocation will be presented at the Booster Club meeting held on the 2nd Wednesday of each month. 

    • A member of the team’s coaching staff (preferably joined by a student-athlete) must attend to present the allocation to the Booster club. 

    • The coach will be asked to step out of the room for discussion prior to voting on approving or denying the request. 

  • Once approved, a check in the amount approved will be provided by the Booster Club Treasurer to the Athletic Department. The check will be deposited into the school account for that sport, which will distribute funds to your team expenses. (Exceptions may apply and will be considered as needed)

The amount of the allocation max is approved by the Executive Committee by April 1st of the previous year based on the funding available. (ex 2024-25, max allowed $3,000)

The Booster Club would like to offer a special thank you to all of our sports that are considered Concessions Hosts. These teams go above and beyond every year to host concessions during their seasons. These include Basketball, Football, Lacrosse, Soccer, Volleyball and Wrestling (in alphabetical order).
